We're excited to introduce our "UpdateAI Meeting Assistant," also known as our Bot. This bot can join your meetings, record the audio and video, and send this information to UpdateAI for processing.
Platform Compatibility of the Bot
Our bot works with Zoom, Microsoft Teams, and Google Meet meetings.
Using the Bot with Zoom
As a Zoom user, the bot won't always record your meetings. We prefer using Zoom's own cloud recording feature first. Read more about why here.
If we can't use Zoom's cloud recording (like if your Zoom settings don't allow it), then we'll send the bot.
You'll mostly see the bot join Zoom where the host of the meeting is someone outside of your UpdateAI workspace. If the host isn't using UpdateAI, we don't have permission to trigger Zoom's cloud recording, so the bot steps in. The bot will also step in if your Zoom account is not connected to UpdateAI inside the integrations tab of your UpdateAI account settings.
Using the Bot with Microsoft Teams or Google Meet
If you use Microsoft Teams or Google Meet, the bot will join meetings you host and meetings you don’t host.
Global Settings for the Bot
Changing your bot settings is easy. Just go to your Recording Settings tab. You can choose which types of meetings you'd like recorded and UpdateAI will do the rest!
Why am I not seeing the Bot Join My Meetings?
If the bot isn't joining your meetings, start by verifying your recording settings to ensure they're configured for the bot to attend the desired meeting. Additionally, check the 'Upcoming Meetings' tab to confirm whether UpdateAI has access to the specific meeting you expect the bot to join.
Keep in mind that if the meeting has a waiting room feature enabled, the bot requires permission from the meeting host to join the conversation. It's a good idea to inform your host in advance about the bot's participation.
Should the problem persist, reach out to UpdateAI's Support team. Provide us with the title, date, and time of the meeting.
Settings for a Specific Meeting
Want to change settings for one meeting? Just go to "Your Scheduled Events" tab on your dashboard.
Will the Bot Join Meetings I'm Not Attending?
Yes, the bot will join meetings even if you're not there, as long as your settings allow it to record. Remember to tell the host of the meeting to let the bot in if there is a waiting room.
Why does the Bot Not Record for Me on Zoom?
If your Zoom call with a bot doesn't result in a recording, it's likely due to the host's settings not permitting bot recording. This issue is generally uncommon and not typically done on purpose.
To address this, go to your Zoom account settings and select the Recording tab. Ensure that the 'Local Recording' option is activated. Additionally, confirm that hosts have the ability to grant meeting participants the permission to record locally, as illustrated in the accompanying image.
