How Topics Work

Topics are generated through these processes:

  1. UpdateAI's purpose-built AI analyzes meeting recaps

  2. The system identifies key insights and clusters them into themes

  3. Topics are calibrated to be at the optimal level of detail - neither too broad nor too granular

Our AI has been specifically fine-tuned for extracting meaningful insights from customer conversations. The system:

  • Bubbles up all insights from individual meeting recaps

  • Clusters them into the most important themes across your customer base

  • Uses the TITLE and DESCRIPTION metadata to categorize each insight

Note: You can edit the metadata of any Topic to improve how future insights are calculated and categorized (whether it's an automated or custom topic)

The effectiveness of Topics depends on hitting the right level of detail. That’s why UpdateAI takes so much care into the ‘just right’ altitude of the topics we discover from your call notes.

  • Too broad: Topics like "Product Requests" don't provide enough detail to act on without manual sorting

  • Too granular: Overly specific Topics create an overwhelming number of categories with limited data points

  • Just right: UpdateAI carefully calibrates Topics to provide actionable insights with statistical significance

Topic Data Sources

Certain data is used to generate Topics:

  • Only insights from external meeting data are included

  • Insights marked to be excluded from Account/Portfolio insights are not included

Topic Recalculation

Topics will be automatically recalculated when:

  • Your workspace reaches 300 external meetings

  • The distribution of Topics becomes too broad or too granular (long-tail)

Note: When Topics are recalculated, the titles, descriptions, and insights within existing Topics may change. Pin important Topics to prevent this.

Visibility and Permissions

  • Topics are generated at the workspace level and are the same for all members

  • Each member only sees insights they have access to based on meeting visibility permissions

  • If a member doesn't have access to a specific meeting, they won't see insights from that meeting in Topics

  • Only Customer Intelligence plans have full access to Topics

  • Users with free licenses can view the Topics dashboard but with limited functionality

Filtering Topics by Segments

Create custom views of your Topics data:

  1. Use CRM property filters to segment Topics by customer attributes

    • Note: CRM mapping is required to use all property filters

  2. If no CRM is connected, filter by fallback accounts and workspace members
