While a meeting is taking place
The easiest way to keep sensitive discussions secure is to not record those parts of the conversation. Here are the ways to prevent UpdateAI from recording private conversation segments.
Using Zoom
If the meeting is taking place on Zoom and you are using UpdateAI's integration with Zoom's native cloud recording (i.e., a bot has not entered your meeting), you can pause or stop the recording at any time through the Zoom conferencing controls.
You'll be able to restart or resume the recording later in the meeting.
If you are on Zoom but are using a bot participant to record instead of the native cloud recording, you can remove the bot from the meeting the same way you would remove any other meeting participant. The bot will not be able to rejoin the conversation to record again.
Using Google Meet
On Google Meet you can remove the bot recorder the same way as you would remove any participant (shown here). The bot will not be able to rejoin the conversation to record again.
Using Microsoft Teams
On Microsoft Teams you can remove the bot recorder the same way as you would remove any participant (shown here). The bot will not be able to rejoin the conversation to record again.
After a meeting has taken place
It's easy to restrict access to your sensitive meetings. Having the right settings for each meeting will make sure you can record a meeting, benefit from the recap, and prevent extra people from seeing the meeting content.
Within your Past Meetings dashboard, you'll see that every meeting is tagged as being visible to either the entire organization or invitees only.
Each meeting is recorded and tagged according to your default, organization wide settings. You can find these settings by navigating to Settings > My Organization and scrolling down to 'Meetings visibility'.
Please note that if you are a solo user of UpdateAI, you can set this yourself. If you are a team member of a group workspace, and you are not the admin or owner, you will not be able to change these settings.
Once you know these settings, you'll know if you need to override those on particular meetings. Navigate to your Past Meeting, locate the meeting with sensitive content, and check the Privacy status shown on the right hand side. If the meeting says Invitees Only, then this is already restricted.
If the Privacy status Organization, this meeting is available to all members of your workspace.
To change this, just click on Organization and you'll see it changed to Invitees Only.
If the meeting is so sensitive that it shouldn't have been recorded in the first place, you can delete the recording. To do this, click on the three dots next to the privacy status, and choose remove recap.
Please note that these instructions will only work if you are the Owner of a given meeting. If you attempt to change the Privacy status or delete a meeting of which you are not the owner, you will get an error message. If you find yourself in this situation, we recommend you reach out to the owner, share these instructions, and ask them to change the status or delete the recap.
